Role Overview

We are looking for a Project Assistant (Extracurricular Internship) to join our team in Rome and support the company’s administrative, financial, and operational activities.

The role is highly cross-functional and provides exposure to core business processes, including administration, accounting support, process documentation, and internal coordination.

You will work closely with multiple teams, gaining hands-on experience in structured business operations within a dynamic and fast-growing environment.

Key responsibilities and tasks

Administration and Finance Support:

Support the company’s administrative and accounting activities, ensuring accurate management of financial documentation, invoicing processes, and compliance activities in coordination with external consultants and internal teams.

Main activities:

  • Management of the active invoicing cycle through the company management system, including monitoring issuance and receipt of invoices via SDI
  • Support in recording, verifying, and archiving accounting and fiscal documentation
  • Periodic bank reconciliations and accounting reconciliations
  • Support in tax and social contribution compliance activities (withholding taxes, taxes, and contributions)
  • Monitoring correct accounting allocation by competence, including management of accruals, deferrals, and fixed assets
  • Registration of invoices and support in the preparation of periodic accounting and financial reports for management

Process Development & Improvement:

  • Support in drafting, structuring, and updating internal company procedures
  • Contribution to the mapping and documentation of operational and administrative processes
  • Support continuous improvement initiatives aimed at increasing efficiency and standardisation of internal workflows
  • Collaboration in the development of structured and scalable business processes

Documentation and Archiving:

  • Management and organisation of administrative, accounting, and corporate documentation
  • Maintenance of digital and physical archives ensuring traceability, order, and accessibility
  • Support in the preparation, formatting, and compilation of internal documents and administrative records
  • Ensuring proper document version control and compliance with internal standards

Meetings and Internal Communication:

  • Support in the organisation of internal meetings (agenda preparation, material collection, scheduling)
  • Participation in meetings with department leads and operational teams
  • Drafting, structuring, and sharing meeting minutes and key action points
  • Support in ensuring follow-up and tracking of operational decisions

Travel and Expense Reporting:

  • Support in the organisation of business travel and logistics
  • Management and verification of expense reports in accordance with internal company policies
  • Support in ensuring correct documentation and reimbursement workflows

Operational Support and Training:

  • Daily operational support to administrative and finance activities
  • Hands-on involvement to build practical skills in business administration and management processes
  • Participation in internal training sessions and structured on-the-job learning activities
  • Progressive autonomy in assigned tasks under supervision

Cross-Functional Support:

  • General support to the team based on operational priorities
  • Collaboration in internal projects and company initiatives
  • Flexibility in supporting different departments based on business needs
  • Contribution to the improvement of internal coordination and efficiency
Mandatory Qualifications and Skills:
  • Master’s degree in Business Administration (Economia Aziendale) or Management Engineering (Ingegneria Gestionale)
  • Excellent command of Italian and English, both written and spoken
  • Proven ability to draft internal procedures and structured documentation
  • Strong organisational skills with excellent attention to detail
  • Excellent interpersonal and communication skills, with a strong team-oriented mindset
  • Proactive, responsible, and solution-oriented attitude
  • Good knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) and digital tools
Conditions & Benefits:
  • Type: Extracurricular internship (stage extracurriculare)
  • Duration: Up to 6 months
  • Start date: 25/05/2026
  • Allowance: €800/month (in accordance with Lazio regional regulations)
  • Work location: Rome, Tecnopolo Tiburtino (on-site presence required)
